The journey

What changes at each step

  1. Step 1: Before the visit

Calls and voicemails are captured, reminders go out, intake is complete and documents are already filed to the right patient.

  2. Step 2: During the visit

The visit is documented in the room, in person or on video, so nothing decided there has to be rebuilt from memory.

  3. Step 3: After the visit

The note, the letters, the referral, the message and the follow-up come back as drafts. The provider reviews, edits and signs.

Before the visit

The day starts organized, not in a pile of voicemails.

Overnight calls and voicemails are waiting as a list, confirmations and reminders have gone out, and intake is complete.

Incoming faxes, scans and uploads are already with the right patient when the front desk sits down.

The smart tools

Seven tools, one patient timeline.

  • Smart scribing

The visit is documented in the room, in the sections your chart uses.

  • Smart letters

School, work and clinical letters drafted from the visit, with the companion letters ready too.

  • Smart forms

Intake and forms created, sent, tracked and finished before the patient arrives.

  • Referrals

Every referral carries its story and stays visible until the appointment happens.

  • Telehealth

Video visits families join from a text, documented like any office visit.

  • Communication

Works with your phones: office-number texting, smart voicemails, direct fax and after-hours messages to the on-call provider.

  • Follow-ups and feedback

What was promised goes out on time, and what patients say reaches the right person.

Shared context

What separate tools actually cost

Consolidation saves money, but shared context is the real reason for one platform. Every part of SmugMe works from the same patient, so what is learned on a call can shape the note, the letter, the referral and the follow-up.

  • The work falls between the tools

What one tool learns, the next never hears about. A person has to carry it across by hand, and it only gets done if that person remembers.

  • The handoff tax

Patient information retyped between systems is where errors come from, and the time spent moving it is time not spent with patients.

  • BAA fatigue

Every added vendor is another agreement to track, another subscription to renew and another place PHI can end up outside your compliance chain.

AI with a signature line

AI that drafts. People who decide.

Every note, letter, referral and message SmugMe prepares is a draft. Your team reviews it, your providers edit and sign it, and nothing reaches a patient or the chart on its own.

That is the point of the name: SmugMe does the work, and you take the credit.

In development

Where this goes: the Smart Practice Assistant

Today SmugMe turns each interaction into work a practice can complete. Next, we are building toward an assistant that follows the patient between visits and helps the practice notice what still needs attention.

It is not shipping yet. Everything else on this site is what the platform does now.

SmugMe does the work. You take the credit.

We are working with a small group of independent practices before public launch. Founding practices get founder-level onboarding, a say in what we build next, and locked-in pricing. Bring us the workflow that costs your staff the most time.
